Video Transcript JUST Connect Create Appointment

This video will outline the steps to create an AVL appointment in JUST Connect.

In this example, I'm a legal aid administrator who is making an appointment between a legal aid lawyer and a person in-custody.

I will log into JUST Connect using my email address and password.

As I work for Legal Aid, the password will be the same as my network login. This applies to all Department of Justice users.

If you're an external user, for example a private lawyer, you will be provided your password once registered.

[user enters an email address, a password, clicks the 'remember me' checkbox, and then clicks the Login button]

The Home page displays.

Appointments can be created from both the home page, or the schedule

To create an AVL appointment, click Create appointment

[the user clicks the 'Create Appointment' button]

The New Appointment screen displays. This screen may appear slightly different for other users.

Complete the Agenda details by selecting from the drop down lists

[the user selects the appointment type drop down list and selects the option 'Correctional Meeting'. Then selects the mode as 'Video']

The Jurisdiction field will only display for certain user types.

and select the purpose for the appointment

[and then the user selects the purpose as 'Conference with Client']

Next, we need to add attendees to the appointment.

Click Add Attendee

[the user clicks the 'Add Attendee' button]

The Add Attendee pop up window displays. You can select attendee types in any order; in this example, we are going to add a professional to the appointment first.

[user clicks the 'Professional' button. And then a search field displays onscreen]

Enter the attendees name, email, VIN or CIMs to see if the professional is already registered in JUST Connect.

If you're adding a private professional to an appointment (for example a medical practitioner), and no results are found, you can click Add New Attendee

You can then enter their details into JUST Connect, and add them to the appointment

If many results are found, not all may be shown. Type more characters to narrow the search to a smaller list.

Attendees from the Department of Justice, or private professionals added to previous appointments as a guest attendee, should already be registered in JUST Connect and will display in the search below

[the user starts typing the name of the attendee and the search results below show the attendee is has been registered previously. The user selects this professional from the search results. The pop up window closes and the user is returned to the appointment screen]

The attendee has been added to the appointment.

As they're the first professional added to the appointment, they have also become the appointment owner. You can change the appointment owner by adding additional professionals to the appointment, and then selecting the owner from the drop down list

Next, we need to add a Corrections Inmate to this appointment.

Click Add Attendee

Select Corrections Inmate

To add a corrections inmate, I must first have their MIN (Master Identification Number). If I was adding a Juvenile Detainee, I need their CIMS (Client Information Management System) number to continue.

[user enters a MIN into the field onscreen]

Once the MIN has been added, click Search

The system will automatically verify that MIN with the Correctional Services system and will display the results onscreen.

Click Select

[the pop up window closes. The user is returned to the Appointment screen]

The Attendee has been added.

You may notice a warning at the top of the screen. Appointments made at short notice with a person in-custody, or some appointments for certain user types will have a status of Pending. Pending appointments must be accepted or declined by a Correctional Services Officer.

If you require an interpreter, you'll need to flag that an interpreter will be present in the appointment by clicking Interpreting Service Required. Please note this does not book the interpreter themselves.

Scroll down to view the timeline and availability section

The timeline at the bottom of the screen shows available times for each attendee, and room. Unavailable times are greyed out for each attendee, or will display as a red box where a clash occurs with this appointment.

Change the date and time of the appointment as required, ensuring all attendees are available

The From and To times can also be manually typed in if the options from the drop down list do not apply

[user selects the Date field. A calendar pop up displays. The user selects a date from the calendar. The user then selects the 'From' time field; this displays a pop up list below, and the user selects the time of 11am. The user then selects the 'To' time field, and then selects the time of 11.45am]

You can change the location and room number of attendees by selecting from the options in the drop down lists

[the user clicks on the location beside the appointment owner, which displays a drop down list of locations below]

An option for 'Own device' can also be selected if the attendee will be connecting to the AVL appointment using their own device

[The user does not select any option from the drop down list]

When all attendees have been added, and the time, date and locations have been updated, click Save Appointment

[the user clicks the 'Save Appointment button. The user is returned to the Home page]

The Appointment has been scheduled

The invited attendees (excluding persons in-custody) will receive a notification email from JUST Connect.

You've now returned to the Home page

If you need to edit the appointment, locate it in the schedule

[the user click the 'View Schedule' button]

Then select the appointment to view the details

[the user selects the appointment from the schedule]

From this screen you can view the appointment details

Click edit to change or update the appointment

[the user clicks the 'Edit' button]

Make any required changes

[the user changes the appointment time to 12.45pm]

and then click Save Appointment

[the user clicks the 'Save Appointment' button. The confirmation screen displays]

The appointment has been updated

The invited attendees (excluding persons in-custody) will receive a notification email from JUST Connect

You'll return to the appointment details screen

You can view the history of an appointment by expanding the History section

[the user clicks the 'Show History' button. A list of all actions taken on this appointment displays below]
